Privacy Notice - Registrars

Stockton‐on‐Tees Borough Council's Superintendent Registrar is a registered data controller and as a Register Office we collect and use information personal to you in accordance with data protection legislation.

The Registrar General for England and Wales is a joint data controller for birth, marriage, death and civil partnership registrations and can be contacted at the General Register Office, Trafalgar Road, Southport, PR8 2HH. Telephone number 0300 1231837.

This outlines what you can expect from us when you provide us with your personal information.

Why are we asking for your information and how will we use the information about you?

Personal information collected from you in order to register an event is required by law. The main legislation which governs the collection of registration information is the Births and Deaths Registration Act 1953, the Marriage Act 1949 and the Civil Partnership Act 2004. You may be legally obliged by these acts, and other pieces of legislation, to provide certain pieces of information. If you fail to provide information you are required to give us you may, amongst other things, be liable to a fine, or we may not be able to provide the service you are applying for, such as a marriage or a civil partnership.

Personal information may also be collected from you if you are to make an application to this Office, for example for a certificate or to correct information contained in a register entry.

The information you provide will be held and processed by registration officers for this registration district.

 

What personal information do we hold about you?

Other organisations may share your personal information with us for the purpose of service delivery or because they are legally required to do so. An example of this would be when the Health Authority sends details of all births in the Borough, which will include personal information such as name, address and date of birth of the mother, as well as the child.

We are also provided with and hold what is known as special category data which includes health data. For example, information relating to the cause of death may be shared with the Coroner if the cause of death is considered suspicious.

Who will use your information?

Registration information held at this Office may be shared with other organisations in the course of carrying out our functions, or to enable others to perform theirs.

We will only share information where there is a lawful basis to do so for the following reasons:

  1. statistical or research purposes
  2. administrative purposes by official bodies, for example, ensuring their records are up‐to‐date in order to provide services to the public
  3. fraud prevention or detection, immigration and passport purposes

Indexes for events registered at this Office are publicly available in order to help members of the public identify the registration record they might need. A copy of any register entry will be provided by this Office in accordance with the law, provided enough information is supplied to identify the entry concerned and pay the appropriate fee. In accordance with the above, some personal data may be displayed for public viewing purposes in the Office reception area via digital screens.

 

How long we will keep your personal information?

Registration information is retained indefinitely as required by law. More information can be found in the tables at the bottom of this notice.

 

How can you access or correct your personal information?

You have the right to request the following in relation to the personal information we hold. Subject to some legal exceptions, you have the right to:

  • have any inaccuracies corrected
  • have your personal data erased
  • place a restriction on our processing of your data
  • object to processing
  • request your data to be ported (data portability)

Is your personal information processed overseas?

Your information will not be processed outside the European Union.

 

What happens if I don't provide you with my personal information?

You are required by law to provide this information in relation to births, deaths and marriages. If you do not provide us with the personal information we have requested, it may not be possible to deliver our services to you and you may face a financial penalty.
